Case Study: Enabling Unified Collaboration Through M365 Adoption
A global life sciences organization engaged Osprey Life Sciences to provide project management leadership for a company-wide collaboration transformation. The initiative aimed to migrate approximately 3,900 employees across all business units to Microsoft 365 (M365), consolidating multiple legacy platforms into a single, secure, and scalable environment.

Challenge:
The organization’s collaboration ecosystem had grown increasingly fragmented, relying on Box, Slack, and network file shares for file storage and communication. This fragmentation created inefficiencies, version control risks, and limited scalability.
The project’s objective was ambitious:
- Migrate 196 TB of data from Box to OneDrive and SharePoint.
- Transition from Slack to Microsoft Teams.
- Move network file shares (S: drive) into SharePoint.
Beyond the technical scope, the challenge lay in executing a large-scale, multi-phase transformation that affected every department and employee. The complexity was amplified by:
- Multiple workstreams operating simultaneously, with hundreds of concurrent tasks.
- Technical constraints such as throttling by Box and Microsoft during data migration.
- High user impact, requiring intensive Organizational Change Management (OCM) for employees new to the Microsoft platform.
- Integration dependencies, as existing systems and workflows needed to be reconfigured for the Microsoft ecosystem.
Solution:
Osprey Life Sciences served as the program management lead, representing the client and coordinating among internal teams, stakeholders, and the external implementation partner responsible for migration and OCM.
The team took a structured, wave-based approach:
- Discovery and planning were completed in early 2025, followed by two-week migration waves per department from May through October.
- Regular coordination sessions were held with departments requiring additional support or custom integrations.
- Osprey orchestrated cross-functional communication, ensuring alignment between IT, OCM, and business teams.
- The team managed risks proactively, finding creative workarounds for technical throttling and maintaining momentum across workstreams.
- Osprey also coordinated system integration updates to ensure compatibility with the Microsoft platform.
Throughout the project, Osprey’s disciplined governance and communication cadence enabled steady progress and stakeholder confidence.
