Enhancing Legal IP Correspondence with Centralized SaaS Platform

Background: 
A leading biopharmaceutical company engaged Osprey Life Sciences to support a range of IT project initiatives through its PMO. Among these, one high-impact effort focused on improving how the company’s Legal department managed incoming Intellectual Property (IP) correspondence.

Challenge:

The Legal IP team was spending significant time managing a disjointed and manual process for handling IP-related documents. Incoming correspondence had to be renamed, broken into components, and manually saved on a shared drive – a system that lacked security, version control, and search functionality. Meanwhile, deadlines and attorney assignments were tracked separately in a docketing tool, further complicating the process.

The team needed a unified platform that could receive correspondence via drag-and-drop from email, allow version control, support metadata-based search, and offer built-in deadline and fee tracking capabilities.

Solution:

Osprey Life Sciences partnered with internal IT, Sourcing, and Legal teams to evaluate potential vendors and ultimately selected Clarivate’s IPFolio – a cloud-based IP management platform. Working directly with the Legal VP of Intellectual Property, Osprey oversaw implementation of the solution and collaboration with Clarivate to ensure a successful rollout.

IPFolio enabled the Legal team to consolidate document management, deadline tracking, and annuity processing into a single, secure, and searchable system – significantly improving efficiency and visibility across their IP portfolio.

Results:

The organization achieved a seamless transition from legacy systems to IPFolio, with improved process control and time savings. Attorneys and staff now manage deadlines, maintenance fee payments, and correspondence within a single tool.

One of the most complex aspects of the project – migrating legacy data stored across multiple unstructured sources – was completed successfully, ensuring clean, centralized access moving forward.
